These terms cover packages organised by Takanawa Travel ehf. The Japanese company operates the platform and contracts with hosts. Review the current protection details, cancellation-cost evidence and booking process before publication. Existing bookings remain unchanged.
1.1. These terms apply to designated packages organised by Takanawa Travel ehf., Iceland, and identified as such before booking. They include fixed-departure hosted packages and any other combination sold by this company as a package. Customers need not be Icelandic. The actual services and sales process determine package status.
1.2. Your organiser is Takanawa Travel ehf., Iceland, trading as Trip To Japan. In this document, “we”, “us” and “our” mean that company. The package page, payment page and confirmation identify the seller, organiser and any separate retailer. Schedule I gives our licence and company details.
1.3. Our company ID is 680423-0830. Our address is Austurstræti 12, 101 Reykjavík, Iceland. Contact: info@triptojapan.com; +81 3-4578-2152. Your travel documents give the operational and emergency contact for your departure.
1.4. As the organiser, we are responsible for all travel services included in your package trip. This includes services that our suppliers provide.
1.5. "You" means each traveller named in a booking. The person who makes the booking accepts these terms for every traveller in it and must have their permission to do so.
1.6. These terms, Schedule I, the accepted package description and booking confirmation govern your package contract. Mandatory law prevails. The platform’s Japanese general terms govern website use but do not add conflicting cancellation, payment or liability rules to this contract. Disclosed supplier conditions apply only to the extent consistent with these package terms and mandatory rights.
1.7. Before you are bound by a booking, we supply the required package information and the appropriate standard information form in the appendix. We provide the contract and terms in a form you can retain.
1.8. Your agreed departure details and any more favourable express commitment we made as part of your booking remain part of your contract. These terms do not reduce your rights under an existing booking or apply retrospectively unless a lawful change is expressly agreed with you.
2.1. Before you pay, the package and payment pages identify the seller, organiser and any retailer; dates and first included service; itinerary and inclusions; capacity; price; confirmation fee; instalments; cancellation rules; and applicable terms. They state whether the departure is confirmed to operate or subject to a minimum group size. If a minimum applies, they show that number and the exact calendar confirm-by date. Hosted packages also include the details in section 15. The same disclosures apply to payment links.
2.2. The reserve page shows the final total price for your booking, including taxes and all compulsory charges that can be calculated, before you pay. It separately identifies the confirmation fee, any instalments due at booking, the total due today, and the remaining amounts and due dates. Any additional costs that cannot reasonably be calculated in advance are disclosed before you book.
2.3. Your contract starts when we receive the stated confirmation payment and send you an express booking confirmation. A payment receipt or acknowledgement marked pending is not booking confirmation. If we cannot accept the booking, we return money taken for it without a cancellation fee. We email your contract, terms and payment schedule in a form you can retain. Booking confirmation is separate from confirmation that the departure will operate, unless we expressly confirm both.
2.4. Check your booking confirmation. Each name must match the traveller's passport. Tell us about any error immediately.
2.5. We pass special requests, such as dietary needs, to our suppliers. A special request is part of your contract only if we confirm it in writing.
2.6. The booking information states the minimum traveller age, any adult-accompaniment requirement, and material safeguarding or activity restrictions. We confirm accepted arrangements for minors or travellers who need assistance before booking. We do not assume that a community host provides personal supervision or care unless this is expressly included.
3.1. The price is per person. It depends on how many people share a room and on the room you choose.
3.2. The price includes only the services that the package page lists as included. International flights, travel insurance, visa costs and personal expenses are excluded unless expressly listed as included.
3.3. You pay in the transaction currency shown before payment, through Kling for current designated Icelandic-company packages. The identified seller and organiser determine the contract. A processor or change of payment method does not change them. Your bank can charge conversion or foreign transaction fees, which we do not control.
3.4. After we confirm your booking, your price is fixed. We do not add surcharges. The price changes only if you ask us to change your booking or agree to a room-occupancy change under section 5.6.
3.5. You pay the confirmation fee when you book (section 4). You pay the balance in instalments. The package page and your booking confirmation show the amount and due date of each instalment. Each due date is set by the number of days before departure. We show the corresponding calendar dates before you book.
3.6. If you book on or after an instalment due date, that instalment is included in the amount due at booking. Payments already made, including the confirmation fee, count towards the total. The payment page shows one total due today and the remaining calendar due dates.
3.7. We send you a reminder before each due date.
3.8. If you do not pay an instalment on time, we remind you again in writing and warn you that we may cancel your booking. We give you at least 7 days after that reminder to pay. If payment is still outstanding after that deadline, we may cancel your booking. The cancellation charges in section 5 apply, subject to your statutory rights.
3.9. Payment dates tell you when we collect amounts; they do not by themselves determine your cancellation liability. Section 5 applies, subject to any more favourable express booking commitment under section 1.8. A later payment date does not by itself make the unpaid balance optional.
4.1. When you book, each traveller pays a confirmation fee. It is a fixed amount or a percentage of the per-person price. The package page shows the fee.
4.2. The confirmation fee is part of your total price. We deduct it from the amount you owe.
4.3. If you cancel, or we cancel your booking for non-payment after the required notice, we retain only the cancellation amount lawfully due under section 5 and the applicable country schedule. The confirmation fee counts towards that amount; it is not added on top. A deposit or confirmation-fee label does not remove a right to a refund.
4.4. We refund the confirmation fee as part of a full refund when we cancel the departure under section 7, when you cancel after a significant change under section 8, when section 5.5 applies, or whenever mandatory law requires it. This does not treat cancellation of an individual booking for that customer’s non-payment as cancellation of the departure by us.
4.5. We issue refunds due under section 4.4 within 14 days after cancellation or the event giving rise to the refund, or sooner where law or the applicable travel conditions require. We do not wait for a supplier to reimburse us before issuing a refund we owe you. Bank processing can take additional time.
5.1. You can cancel before departure by emailing info@triptojapan.com or using the designated account function. Cancellation takes effect when we receive a clear notice, not when staff later process it. We acknowledge receipt. The package cancellation table states the relevant deadline and time zone; supplier rate deadlines retain their disclosed time zone.
5.2. The cancellation table in Schedule I applies. “Departure” means the start of the first included service, including an outbound flight where included. A charge is calculated for each cancelled traveller, includes amounts already paid and cannot exceed that traveller’s package price. The reductions and exceptions in section 5 remain applicable.
5.3. We refund payments above the cancellation amount within 14 days after cancellation, or sooner if required by law or applicable travel conditions. Refunds are normally made to the original payment method in the original transaction currency. Any different method must be lawful and agreed.
5.4. Charges must be lawful, reasonable and justifiable under the applicable contract rules. We take account of cost savings, recoveries and resale income where required. We reduce or remove a charge where the applicable rules require and explain its calculation on request. Supplier charges are not automatically added to a package cancellation percentage. We do not recover the same loss twice.
5.5. You may cancel without a fee if unavoidable and extraordinary circumstances at or near the destination significantly affect the package or travel to it. We refund all payments within 14 days, or any shorter applicable deadline. No additional compensation is payable solely because of those circumstances, without limiting any separate right arising from our breach or under mandatory law.
5.6. If some travellers in a booking cancel and others still travel, the remaining travellers pay the per-person price for their new room occupancy, for example the single-room price. Any applicable occupancy supplement must be disclosed before booking or agreed afterwards. We do not recover the same loss twice through a cancellation charge and an occupancy supplement.
5.7. If you voluntarily choose not to use a service after the trip starts, any refund follows the applicable travel conditions and law. This does not remove remedies for a missing, defective or materially changed service under section 9, or any other refund right. We do not retain an amount that must be returned under the applicable rules.
6.1. You can transfer your place to another person who meets all the conditions of the trip.
6.2. Tell us in writing within a reasonable time before departure. A notice that you send at least 7 days before departure is always on time.
6.3. You and the new traveller are both responsible for paying any unpaid balance and the additional costs of the transfer.
6.4. We charge only the costs that the transfer actually causes, such as supplier name-change fees. We show you evidence of these costs.
7.1. If a departure is subject to a minimum group size, the departure page, reserve page and your booking confirmation show that number and the exact calendar confirm-by date. If it is already confirmed to operate, they state that instead. Once we expressly confirm in writing that a departure will operate, including on the departure page or by email, we will not cancel it for insufficient traveller numbers. This remains the case if later cancellations leave fewer travellers than the stated minimum; the low-number cancellation right in section 7.2 does not reopen. Sections 7.3 to 7.5 still apply to other reasons for cancellation.
7.2. Before we expressly confirm operation, we may cancel for insufficient numbers only if the minimum and notice deadline were disclosed before booking. We must notify you by the published confirm-by date and no later than the statutory dates in Schedule I. A supplier deadline does not allow us to extend the customer’s agreed deadline.
7.3. We may also cancel the departure if unavoidable and extraordinary circumstances prevent us from providing the trip. We then tell you without undue delay before departure.
7.4. If we cancel under section 7.2 or 7.3, we refund all payments, including the confirmation fee, within 14 days or a shorter applicable deadline. Additional compensation is not payable solely for those permitted grounds, subject to mandatory law and any separate breach. Supplier non-refundable charges do not reduce this refund.
7.5. If we cancel the departure for another reason, we refund all payments within 14 days or a shorter applicable deadline, and provide any compensation required by law. Refunds are not conditional on supplier recovery, host repayment or acceptance of a credit.
7.6. Until we confirm that your departure will run, book only flights and other arrangements that you can change or cancel.
8.1. The package page and your booking confirmation list the stops included in your trip ("listed stops"). Activities clearly described as optional or at your own expense are not included unless expressly confirmed as part of your booking.
8.2. The day-by-day schedule is a plan, not a fixed timetable. We may change the order, day and timing of visits, transport, and rest and meal times because of weather, traffic, closures, crowds, safety or other operating conditions. Changes under this clause must be minor; significant changes are handled under sections 8.5 to 8.7.
8.3. We will include every listed stop in your trip. If necessary, we move a stop to another time or another day of the trip.
8.4. The only exception is a listed stop that becomes impossible to visit because the site closes, an authority orders it, or a visit would be unsafe. We then offer a comparable alternative at no extra cost and any price reduction that the law requires. If no suitable alternative is available, your rights under section 9 remain unaffected.
8.5. Before departure, we may need to make a significant change to a main feature of your trip, such as the dates, the destinations, the accommodation, a listed stop, a named host or an included hosted activity (section 15). This also applies if we cannot fulfil a special request that we have accepted as part of your contract. We then tell you promptly and clearly in writing:
what the change is and how it affects the price;
the deadline for your reply, and what happens if you do not reply;
any substitute trip that we offer.
8.6. You can accept the change or cancel your booking without a charge. If you cancel, we refund all your payments, including the confirmation fee, within 14 days or any shorter applicable deadline. Silence does not count as acceptance of a significant change.
8.7. If you accept a change or a substitute trip of lower quality or cost, we reduce your price by an appropriate amount.
9.1. If a service is not as agreed, tell your guide or our support team immediately (info@triptojapan.com, +81 3-4578-2152). This lets us fix the problem during the trip.
9.2. We fix the problem unless this is impossible or the cost is disproportionate. If we refuse to fix it or do not do so within a reasonable time, you may arrange a remedy and claim necessary expenses as allowed by law. You do not need to wait if immediate action is required.
9.3. You are entitled to an appropriate price reduction for the period in which a service was not as agreed, unless the problem is attributable to you. You may also be entitled to compensation or other remedies under the law, including ending the contract for a substantial failure and return transport where required. A failure to notify us promptly affects these rights only to the extent permitted by law.
9.4. If you are in difficulty during the trip, for example because of illness or lost documents, we give you appropriate help without undue delay. We may charge a reasonable fee, no higher than our actual costs, for this help if you caused the difficulty on purpose or through your own negligence.
10.1. You must hold the passport, visa, transit documents and permissions required for your nationality and journey. Check requirements for each destination and transit point. We provide required pre-contract information. There is no universal six-month passport validity requirement in these terms.
10.2. Before booking, tell us about accessibility or health needs that may affect the agreed activities, using the confidential channel provided. Share only information needed to assess and arrange suitable services. We explain material activity requirements and assess requests with the relevant providers.
10.3. Follow the law, local customs and your guide's safety instructions. If your behaviour puts others at risk or seriously disrupts the group, we may end your participation. Where practicable, we warn you first. Any refund and our continuing duties to assist you are determined by applicable law.
10.4. Arrive at the stated meeting points and check-in times. You may have to pay reasonable rejoining costs caused by your own avoidable delay. This does not remove remedies where the problem was caused by us or a service provider for whom we are responsible.
10.5. Follow the property’s disclosed identification, occupancy and incidental-deposit rules. You are liable for property damage only to the extent established under applicable law. We explain any claim, provide available evidence and give you an opportunity to respond; a disputed claim is not automatic permission to charge your card.
10.6. Do not make false, speculative or fraudulent reservations. We may take proportionate steps to investigate and protect bookings, with notice where lawful and practicable. Any cancellation or retention of money must have a lawful and contractual basis.
11.1. Travel insurance is mandatory for every traveller. It must cover at least medical expenses, emergency evacuation and repatriation, and personal liability.
11.2. We strongly recommend cover for cancellation and curtailment. Buy it when you book, because cancellation charges can apply from that point.
11.3. If we ask, you must show us proof of your insurance before departure.
12.1. Our insolvency protection is through Ferðatryggingasjóður, the Travel Guarantee Fund, as described in Schedule I and the standard information form.
12.2. The protection covers payments for services not provided because of insolvency and return travel where included and required. We supply the required information for your actual package before booking.
12.3. You may contact the protection provider directly using the details in Schedule I and your booking documents. The fact that Takanawa Travel K.K. operates the platform or contracts with a host does not replace the organiser or protection identified for this booking.
13.1. Report problems during the trip as section 9 describes.
13.2. If we cannot solve a problem during the trip, send a written complaint to info@triptojapan.com. We ask you to do this within 30 days after the trip ends. This request does not shorten any time limit under the law.
13.3. An eligible unresolved complaint may be referred to the Consumer Complaints Committee using the details in Schedule I. Statutory court rights remain available. You do not have to pursue a supplier or host first to claim against us where we are responsible to you.
14.1. Icelandic law governs these terms and your contract with us. This does not remove mandatory consumer protections that apply to your circumstances, including applicable protections of the country where you live.
14.2. A competent Icelandic court may decide disputes. You may also bring a claim in another court where mandatory law permits it.
14.3. If a court finds a part of these terms invalid, the other parts stay in effect.
14.4. Nothing in these terms limits your rights under Icelandic Act No. 95/2018 on Package Travel and Linked Travel Arrangements or other applicable mandatory law.
15.1. This section applies when we sell a package with a named host or included hosted activities. Before you book, the departure description identifies the host, the days they will accompany the group, the activities they will personally deliver, and any stated alternatives. It explains whether the named host or a particular activity is a main feature of the trip. Those commitments form part of your contract.
15.2. The description distinguishes community hosting from operational guiding and specialist instruction. A host’s community or creative role is not by itself a guiding qualification. We identify the provider and use suitably qualified people where required. The named organiser remains responsible under sections 1.4 and 9. Hosts contract with Takanawa Travel K.K.; that internal arrangement does not replace the organiser named in your booking or reduce your rights. Lower traveller numbers do not permit us to add host costs to your fixed price.
15.3. Before booking, we explain material ability, fitness, equipment and safety requirements for included specialist activities and whether suitable alternatives are available. Tell us about relevant needs so we can discuss suitability with you. Participation does not waive your statutory rights or our responsibility to provide the agreed services properly.
15.4. If a host or promised activity becomes unavailable before departure, we tell you promptly in writing and explain the effect on your trip and your options. A replacement host or activity is not automatically equivalent. If the change significantly affects a main feature of your package, sections 8.5 to 8.7 apply: you may accept it or cancel without a charge, with all payments refunded within 14 days or any shorter applicable deadline. Silence is not acceptance. We do not charge extra for a replacement arranged to fulfil our original commitments; any different optional service with an extra charge requires your express agreement.
15.5. If a host or included activity becomes unavailable during the trip, section 9 applies, including appropriate remedies, price reduction and compensation where due. We offer suitable alternative arrangements at no extra cost where required. A host's illness or withdrawal does not by itself remove our organiser obligations or your rights.
15.6. Permission to use identifiable photographs, recordings or testimonials of you for marketing is separate and optional. We ask for that permission independently of the booking terms and explain the proposed use. Refusing does not affect your booking or participation. You may withdraw consent for future use by contacting us; we explain how this is handled in the relevant privacy information.
15.7. Joining a group messaging service is optional. Before inviting you, we explain the service and which contact or profile details other members can see. We provide essential trip information through an alternative direct channel if you do not join. Joining is not consent to marketing.
15.8. We share traveller information with hosts and other providers only as needed for their assigned operational work and in accordance with applicable data protection law. Hosts do not receive unrestricted access to booking records, payment details or sensitive personal information. Photography or messaging choices do not authorise unrelated use of your data.
16.1. The Privacy Policy identifies the companies that use your information and explains purposes, recipients, retention and rights. We share the information needed to arrange and support the trip under applicable data protection law. Marketing permissions and optional cookies are separate from the booking contract. A host may not use traveller information for unrelated marketing merely because they host the trip.
16.2. No general platform disclaimer or supplier exclusion removes our organiser or retailer duties. Nothing here excludes liability for fraud, deliberate misconduct, gross negligence, death or personal injury caused by our negligence, or liability that cannot lawfully be limited. Valid limits under applicable travel conditions or international conventions apply only within their lawful scope.
16.3. We identify and retain the version accepted when you book. Later website changes do not automatically alter your contract. More favourable express booking commitments remain effective. Effective date and version: [complete after approval].
I.1. Identity and scope. Takanawa Travel ehf., trading as Trip To Japan, company ID 680423-0830, Austurstræti 12, 101 Reykjavík, Iceland. Icelandic Tourist Board travel agency licence 2025-039. This schedule applies to packages identified before booking as organised by this company. Customers need not be Icelandic. The package description identifies any separate retailer. Applicable organiser and retailer duties remain.
I.2. Customer cancellation. Subject to sections 4 and 5 and mandatory law, the charge for each cancelled traveller is:
Notice before the first included service: Cancellation charge
61 days or more: The disclosed confirmation fee
31 to 60 days: 50% of that traveller’s price, or the confirmation fee if higher
15 to 30 days: 75% of that traveller’s price
14 days or fewer, or no-show: 100% of that traveller’s price
These amounts include the confirmation fee and supplier cancellation costs; they are not added together. The charge is reduced where section 5.4 or law requires. It cannot exceed the cancelled traveller’s price. A higher supplier charge does not automatically increase it. A different trip-specific schedule requires lawful, clear agreement before booking and cannot remove a statutory refund right. No unspecified exception in supplier terms changes this table.
I.3. Minimum numbers. For cancellation solely because the stated minimum has not been reached, notice must be given by the published confirm-by date and no later than 20 days before trips longer than six days, seven days before trips lasting two to six days, or 48 hours before trips shorter than two days. Earlier commitments in the booking apply. Once we expressly confirm operation, section 7.1 removes the low-number cancellation right.
I.4. Refunds and rights. Icelandic Act No. 95/2018 applies. Required refunds under its cancellation and significant-change provisions are due within 14 days. Supplier non-refundability, delayed supplier recovery or host withdrawal does not displace those rights. Required transfers, assistance, remedies and organiser/retailer responsibility remain as described in the common terms and the law.
I.5. Insolvency protection. Takanawa Travel ehf. has protection through Ferðatryggingasjóður, the Travel Guarantee Fund. It protects payments for services not provided because of insolvency and return travel where included and required. Contact the Icelandic Tourist Board, Geirsgata 9, 101 Reykjavík, Iceland; +354 535 5500; upplysingar@ferdamalastofa.is. [Before release, verify current coverage and the complete notice against the actual sales model and required standard form.]
I.6. Complaints. You may refer an eligible unresolved complaint to Kærunefnd vöru- og þjónustukaupa, the Consumer Complaints Committee, Borgartún 29, 105 Reykjavík, Iceland; +354 510 1125; kvth@kvth.is. Current procedure: https://island.is/en/p/complaints-board-for-goods-and-services. Statutory court rights remain available.
I.7. Standard information. The following appendix applies to this Icelandic-company package. Provide the prescribed form appropriate to the actual sale before the customer is bound, and retain it with the contract.
This standard information form reflects the Icelandic Tourist Board's English form. Its EU Directive references concern rules implemented in Iceland by Act No. 95/2018 through the EEA Agreement.
The combination of travel services offered to you is a package within the meaning of Directive (EU) 2015/2302.
Therefore, you will benefit from all EU rights applying to packages. Takanawa Travel ehf., trading as Trip To Japan, will be fully responsible for the proper performance of the package as a whole.
Additionally, as required by law, Takanawa Travel ehf. has protection in place to refund your payments and, where transport is included in the package, to ensure your repatriation in the event that it becomes insolvent.
Travellers will receive all essential information about the package before concluding the package travel contract.
There is always at least one trader who is liable for the proper performance of all the travel services included in the contract.
Travellers are given an emergency telephone number or details of a contact point where they can get in touch with the organiser or the travel agent.
Travellers may transfer the package to another person, on reasonable notice and possibly subject to additional costs.
The price of the package may only be increased if specific costs rise (for instance, fuel prices) and if expressly provided for in the contract, and in any event not later than 20 days before the start of the package. If the price increase exceeds 8% of the price of the package, the traveller may terminate the contract. If the organiser reserves the right to a price increase, the traveller has a right to a price reduction if there is a decrease in the relevant costs.
Travellers may terminate the contract without paying any termination fee and get a full refund of any payments if any of the essential elements of the package, other than the price, are changed significantly. If before the start of the package the trader responsible for the package cancels the package, travellers are entitled to a refund and compensation where appropriate.
Travellers may terminate the contract without paying any termination fee before the start of the package in the event of exceptional circumstances, for instance if there are serious security problems at the destination which are likely to affect the package.
Additionally, travellers may at any time before the start of the package terminate the contract in return for an appropriate and justifiable termination fee.
If, after the start of the package, significant elements of the package cannot be provided as agreed, suitable alternative arrangements will have to be offered to the traveller at no extra cost. Travellers may terminate the contract without paying any termination fee, where services are not performed in accordance with the contract and this substantially affects the performance of the package and the organiser fails to remedy the problem.
Travellers are also entitled to a price reduction and/or compensation for damages where the travel services are not performed or are improperly performed.
The organiser has to provide assistance if the traveller is in difficulty.
If the organiser or, in some Member States, the retailer becomes insolvent, payments will be refunded. If the organiser or, where applicable, the retailer becomes insolvent after the start of the package and if transport is included in the package, repatriation of the travellers is secured. Takanawa Travel ehf. has taken out insolvency protection with Ferðatryggingasjóður (the Travel Guarantee Fund). Travellers may contact the fund through the Icelandic Tourist Board (Ferðamálastofa), Geirsgata 9, 101 Reykjavík, Iceland; telephone +354 535 5500; email upplysingar@ferdamalastofa.is, if services are denied because of Takanawa Travel ehf.'s insolvency.
Directive (EU) 2015/2302 as transposed into Icelandic law: Act No. 95/2018 on Package Travel and Linked Travel Arrangements.
Trip To Japan price commitment: section 3.4 gives you fixed-price protection. We do not reserve a right to impose the price increases described in the standard information form.
